Privacy policy
Last updated 27 October 2026
This policy explains what personal information Vanfeed collects, why, and what your rights are. We keep it short and in plain English.
Who we are
Vanfeed is an AI social media service for trade and home-improvement businesses, based in Glasgow, Scotland. Vanfeed is a trading name of Mor3 Ltd, a company registered in Scotland (company number SC837776). Mor3 Ltd is the controller of the personal information described here. You can contact us about anything in this policy at hello@vanfeed.com or on 03301 33 55 33.
What we collect
- When you book a free audit: your name, business name, phone number or email address, and any social media page you give us.
- When you email or call us: your contact details and what you tell us.
- When you become a client: billing details, the photos, videos and information you send us for your posts, and access details for the social accounts we manage for you.
- When you visit the website: our web host keeps standard server logs (such as IP address, browser type and pages visited) for security. To stop spam, the audit form briefly stores a scrambled version of your IP address and the time you sent the form, for no longer than an hour.
We don't use advertising or tracking cookies, and we don't sell your information.
How we use it, and our lawful basis
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry and carry out your free audit | Steps you've asked us to take before a contract, and our legitimate interest in responding to enquiries |
| Provide our service to clients, including creating and posting content | Performance of our contract with you |
| Invoicing and keeping business records | Legal obligation |
| Keeping the website secure and free of spam | Legitimate interests |
| Occasional updates about our service to clients and people who have enquired | Legitimate interests. You can opt out at any time. |
How we use AI
When you book an audit, our first email reply is written automatically by an AI service (Anthropic's Claude), using the details you entered on the form. We then follow up with you personally. For clients, we use AI tools to help draft captions and posts, and you approve every post before it goes out. We don't use AI to make decisions about you that have legal or similarly significant effects.
Who we share it with
We only share your information with the providers we need to run Vanfeed:
- GoDaddy: website hosting and email
- Anthropic: the AI service that drafts replies and content. Under their commercial terms, information sent through their service isn't used to train their models.
- Google: the fonts on our website are loaded from Google Fonts, which means your browser shares your IP address with Google when the page loads.
- Social media platforms (Meta, TikTok, Google): when we post on a client's behalf
- Our accountant, bank and payment providers, for clients
Some of these providers are based in, or process information in, the United States. Where that happens, we rely on recognised safeguards under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum.
How long we keep it
- Enquiries that don't go any further: 12 months from our last contact, then deleted
- Client records: for as long as you're a client, then 6 years for tax and accounting purposes
- Photos and content you send us: for as long as you're a client. We delete unused material within 3 months of the end of your contract unless you ask us to keep it.
Your rights
Under UK data protection law, you can ask us to:
- give you a copy of the information we hold about you
- correct anything that's wrong
- delete your information
- limit how we use it, or object to us using it
- pass it to another organisation in a format they can use
Email hello@vanfeed.com and we'll respond within one month. There's no charge.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping it safe
Our website uses HTTPS encryption, our files are stored in private folders that aren't publicly accessible, and access to client accounts is limited to the people who need it.

We'll update this page if anything changes. The date at the top shows when it was last revised.
